FAQ iGlowly Websites
Before launch
What we need before we begin
- Your current website address, if you have one
- Your treatment or procedure list with current prices
- Any printed or digital brochures, leaflets or treatment sheets
- Practitioner names, qualifications, registrations and photographs
- Clinic photography, logo and brand colours if you have them
- Opening hours, locations and contact routes
- Your booking system, if you use one
- Existing consent, aftercare or patient-information documents
Most clinics already have all of this. Brochures and price lists are often more detailed than the website, which is why we ask for them — a printed treatment sheet frequently contains the protocol, session count and aftercare detail that never made it online.
How long does it take to launch?
Typical launch target is 2–3 business days for Practice Launch, around one week for Clinic Launch and around two weeks for Large Clinic Launch, measured from the point your materials are complete — website access, treatment and price list, brochures, practitioner details and photography — and assuming approvals come back promptly. If something is missing, or clinically sensitive content is waiting on your sign-off, the timeline pauses there.
Is it too fast to be any good? Reasonable question. The reason it is quick is that the hard thinking happened before you arrived: the patient-information structure was designed from an audit of 200 aesthetic clinic websites, and it is already built. Your launch is migration, structuring, branding, compliance review and quality assurance on top of that framework. Nothing is skipped — the two months an agency spends deciding how a clinic website should be organised is simply work we are not repeating for every client.
Larger or multi-location clinics are confirmed individually before work begins.
What if I do not have a website yet?
That is fine, and often simpler. We build from your brochures, treatment and price list, practitioner details, photography and clinic information instead. There is no migration to do, so the launch work goes into structuring what you already hold on paper.
Will the website be set up for the privacy and advertising requirements of my market?
The standard website includes GDPR and privacy foundations and is configured for the market your clinic operates in. We review cookies and tracking, enquiry forms, privacy information, treatment terminology, practitioner information, testimonials, promotional claims, before-and-after content and local advertising restrictions. Requirements differ between countries, and the clinic remains responsible for final approval of its clinical claims, medical content and professional obligations.
What if my clinic has more than 50 treatment or procedure families?
For multiple locations, more than 50 treatment or procedure families, a very large image library or a complex existing website, we confirm the one-off launch fee before work begins. The managed website price remains €99/month. The launch fee reflects the one-off work to prepare your clinic accurately — not the number of pages the system generates.
Booking & migration
Can you use my current booking system?
Yes. We connect your existing booking system rather than requiring you to replace it. If your system provides a standard booking link, button, widget or embed, we add it to the relevant booking and enquiry areas as part of your package. Custom API development is quoted separately.
To be clear about what this means: every "Book now" on your website sends the patient into your own booking system. We do not provide, replace or operate booking. Appointments, availability, deposits, reminders, cancellations, no-shows and patient records all stay inside your system, under your control and your provider's terms — nothing about your bookings passes through iGlowly.
Systems we support: Fresha · Treatwell · Phorest · Timely · Vagaro · Mindbody · Jane App · Cliniko · SimplyBook.me · Setmore · Booksy · Boulevard · PatientNow · NexHealth · Zocdoc · Doctolib · Doctoralia · Top Doctors · Pabau · Aesthetic Record · HubSpot Meetings · Calendly · Microsoft Bookings · Google Calendar booking links.
No booking system? The website works without one. Enquiry forms, WhatsApp, phone and email routes are part of the standard build, and a booking system can be connected later whenever you adopt one.
My booking or practice-management system includes a free website. Why would I pay for this?
Because they are built to do different jobs. A website bundled with a booking system exists to get patients into that booking system. It is usually a small brochure — a handful of pages, a treatment list, contact details — and it is a feature of the software, not a product in its own right.
An iGlowly website is built as the thing that convinces a patient before they book: concerns linked to treatments, treatments linked to practitioners, suitability and safety information, pricing, aftercare and patient information, typically 60 to 100+ connected pages rather than five or eight.
- Your website is tied to your software contract. If you change booking system, the bundled website usually goes with it. You rebuild, and your established URLs and search visibility take the hit. Ours connects to your booking system rather than depending on it.
- Bundled sites are not adapted to local aesthetic-medicine rules. They are built for salons, clinics and practices across many markets at once. Treatment naming, promotional claims, before-and-after content and prescription-only medicine restrictions differ by country.
- Someone still has to keep it current. A bundled site usually means you editing it. Here, changes are requested and done for you within two business days.
We are not asking you to leave your booking system. We connect to it.
Will I lose search traffic when my website moves?
No provider can guarantee rankings, but we protect established visibility through URL mapping, preservation of relevant URLs, 301 redirects where required, sitemap updates and broken-link checks. This is included in the migration.
Can you migrate my existing blog?
Yes. Useful articles are migrated into your new Insights area, with existing URLs preserved where possible and redirects added where they must change.
What happens to my domain and email?
Your domain remains yours. We check how your website and email are configured before changing anything and preserve the relevant DNS records. If your email is bundled with your current website provider, we recommend moving it to a dedicated service such as Google Workspace or Microsoft 365. We never cancel old hosting or change mail settings without checking first.
Content & updates
How do you handle medical content and local rules?
Every launch is prepared with the local requirements relevant to your clinic in mind: treatment terminology, promotional claims, prescription-only medicines, before-and-after content, testimonials, practitioner information and privacy. These rules differ by country, so we do not copy generic clinic content across markets.
We flag issues and prepare content carefully, but the clinic remains responsible for final approval of its medical information, claims and professional or legal obligations before publication.
Will my website look like another iGlowly clinic website?
No. The information architecture is shared because it is purposeful. Your visual direction, branding, colours, imagery, treatments, practitioners, prices, testimonials, FAQs and clinic content are specific to your practice. Two clinics may choose the same design direction and still not look the same once their branding and photography are applied.
How many pages are included?
You are not buying a page bundle. Every launch includes the complete core clinic website, essential patient and legal pages, treatment or procedure pages, linked concern pages, practitioner profiles and an Insights area. A clinic with 16 procedures can easily reach around 69 pages; around 25 treatments can easily reach 75 or more. The package limit is based on the treatment scope we migrate, structure and maintain — not a page count.
Do I need to rewrite all my content?
No. We build from your existing website, brochures, treatment sheets and price list. Between those sources, most clinics already hold far more usable material than their current website shows — printed brochures in particular often contain protocols, session counts and aftercare detail that was never published online. We migrate and structure it, and write a basic version where something is genuinely missing. You confirm clinic facts and approve clinically sensitive information before publication.
Treatment and concern copywriting is available at €149/page where your source material is missing or very limited, or where you want substantially stronger original copy. You do not need to buy copywriting simply to have your existing treatments migrated. If any page would launch thin, we tell you which one before we build.
Will my treatment pages read the same as every other clinic's?
Part of any treatment page is simply factual. How botulinum toxin works, or what Profhilo does in the skin, is the same wherever it is written — every credible clinic describes it in much the same way, and search engines expect that.
What makes the page yours is everything around it: your protocol, number of sessions, pricing, who administers the treatment, suitability criteria, aftercare, results you see in your own patients and the questions your patients actually ask. Our structure pulls that clinic-specific information onto the page automatically.
Can you install analytics en tracking?
Yes. Installation of standard Google Analytics or Google Tag Manager tracking is included, together with our basic consent banner. If your marketing setup requires automated cookie scanning, detailed consent records, multiple tracking categories or a third-party consent platform such as Cookiebot or Usercentrics, we will configure it for you; the platform subscription is paid directly by the clinic.
What updates are included?
One standard update request per week, up to four per calendar month. You can group several small changes—such as prices, opening hours and contact details—into one request. Standard updates are normally completed within two business days once we have the information needed. Unused requests do not carry over.
Standard updates include changes to existing content, booking links, practitioner information and small image or gallery changes, plus up to one new treatment or service page per month within the existing structure using content you provide or approve. Fixes to issues we are responsible for do not use your allowance. Design changes, new sections, custom development, bulk uploads, substantial copywriting and custom integrations are separate requests. Additional updates are €25 each, or €49/month for four extra per month.
Ownership & custom work
What do I own, and can I leave?
You can cancel the managed service at any time without paying a buyout fee. Your website stays online until the end of your paid billing period, subject to the Terms’ provisions on availability and suspension.
Your domain, branding, supplied text, photographs, videos and clinic data remain yours. You retain control of your domain registrar account, Search Console, GA4, Tag Manager, Google Business Profile, advertising and booking accounts. If we set up one of these accounts for you, we set it up under your control.
Separately purchased copywriting and articles are yours once paid for. You may reuse clinic-specific content we wrote as part of your launch package after 12 completed paid months from the website’s go-live date, or sooner if you pay for an early buyout. We identify that launch content in your project handover.
A portable copy of the published website is free after 24 completed paid months. Before then, the total buyout price is €1,000 × (24 − completed paid months) ÷ 24, rounded to the nearest euro, excluding VAT. The €1,000 maximum applies to every standard package and includes additional languages purchased for that website. For example, the price is €500 after 12 completed paid months. A separately quoted bespoke website has its own agreement.
Where can I read the terms for managed websites?
The managed website service is provided under the iGlowly Managed Websites Terms of Service. They cover the launch fee, the monthly subscription, updates, intellectual property, payment and cancellation. How we handle personal data for the service is explained in the Privacy Policy. Both pages are also linked in the footer of every page.
What is included in the portable website?
The export contains your published pages as independently hostable HTML, CSS, JavaScript and other website files. It also includes SEO metadata, structured data, a sitemap, a URL list and relevant redirect instructions. Another developer can host and edit the site without an iGlowly subscription.
We include photographs, videos, logos and other files you supplied that we still hold for the project, including unpublished originals. Assets we sourced or created are included where their licences allow transfer. If a licence prevents transfer, we identify the asset and its replacement or licensing options. Our CMS, working source files and internal tools are not included. Forms, booking and analytics may need to be configured on your new host.
How does handover work if I move?
Request the export while your subscription is active if you want your new provider to deploy and test the site before you change its DNS records. We keep your iGlowly site online until the end of your paid period, subject to the Terms’ provisions on availability and suspension.
We provide the website export you are entitled to within three business days after your request and receipt of any applicable early-buyout payment. We provide files you supplied that we still hold within three business days of your request, even if you do not buy out the website. We also provide relevant URL, redirect and current DNS information and answer reasonable written questions from your new provider. There is no additional export or handover fee. If you want us to set up your new hosting or move the site for you, we quote that work separately.
Does the website include ecommerce?
Built-in ecommerce is not included at launch. The website can connect or link to external systems for booking, consultation deposits, payment links and gift vouchers, or to an existing online store. If a built-in store is essential, contact us before ordering.
How does a managed website compare with a bespoke clinic website?
A bespoke website is suitable when a completely original user experience, visual direction or custom functionality is central to your clinic. For most clinics, a patient-information structure developed from an audit, combined with your own branding and ongoing professional management, is the more practical option.
| Managed clinic website | Bespoke clinic website |
|---|---|
| €250–€1,490 launch + €99/month | From €9,800 |
| No large upfront investment | Larger upfront investment |
| Website structure informed by an audit | Information architecture designed for your clinic |
| Choose a visual direction | Original visual direction |
| Built, hosted and managed for you | Ongoing management quoted separately |
| Fast, focused launch | Longer discovery, design and build process |
Can I request a completely custom design?
Yes. The managed service is based on established iGlowly design systems. If you need a fully custom visual direction, user experience, components or functionality, we offer a separate Bespoke Clinic Website from €9,800.
