How can I trust the medical information provided by iGlowly Assistant?
iGlowly Assistant isn't a generic chatbot. It's a digital patient assistant built on a clinical knowledge library. Every answer comes from 130+ pre-validated guides written from peer-reviewed sources like PubMed and PMC. The system doesn't "think" — it looks things up. The AI puts those facts into plain language; it doesn't invent them.
Does the AI "invent" answers?
No. We use a Hybrid Architecture. The medical content is deterministic (fixed and validated), while the AI is only used to understand the patient’s intent and phrase the answer naturally. It cannot hallucinate treatments or facts.
What sources are used to build the medical content?
We rely on peer-reviewed literature (PubMed, PMC) and established clinical knowledge in aesthetic medicine. Each guide is structured, standardized, and reviewed before being used by the assistant.
How often is the medical content updated?
Our content library is continuously maintained and expanded. New treatments and updates are added regularly to reflect current clinical practices and patient expectations.
Privacy & Risk
Is it HIPAA / GDPR compliant?
iGlowly Assistant is GDPR compliant and designed around a Zero-PHI architecture to minimise exposure to identifiable personal and health information as much as possible.
The assistant does not require a name, email address, or phone number to answer questions, does not retain full conversation histories, and does not provide clinics with identifiable visitor profiles. Personal identifiers entered voluntarily by visitors are removed before downstream AI processing, and only anonymous, aggregated analytics are retained.
For U.S. clinics subject to HIPAA, the applicable obligations depend on the clinic’s status and the specific data flow involved. iGlowly can provide its Zero-PHI documentation and, where appropriate, enter into a Business Associate Agreement (BAA).
Do I need to sign a BAA (dor US clinics)?
Generally, no. The iGlowly Assistant uses a Zero-PHI architecture: it does not require visitors to identify themselves, retain conversations or create patient records. iGlowly can provide its Zero-PHI documentation and, where appropriate, sign a Business Associate Agreement covering the website widget. This does not extend to assistants or integrations operating through WhatsApp, Instagram, Messenger or other Meta services.
Do you use patient conversations to train your AI?
Never. Patient privacy is absolute. Interactions are processed in a sanitized environment and are never used to train our models or any third-party systems.
Does iGlowly store patient data or conversations?
No. We do not store names, emails, phone numbers, messages, or any identifiable data. Only anonymous, aggregated usage signals (e.g. topics asked) are counted.
Is iGlowly considered a medical device or giving medical advice?
No. The assistant provides general educational information about treatments and clinic services. It does not diagnose, recommend, or replace a medical consultation.
System Logic
Do you use AI, and what role does it actually play?
Yes—but in a controlled way. Most of the system is deterministic: mapping user intent to validated guides and your clinic data. AI is used only to adapt wording, translate, and make responses natural. It is not used to decide medical content.
Is the assistant fully AI-driven or partially deterministic?
It is hybrid. Core logic (treatment mapping, clinic data, safety rules) is deterministic. AI sits on top to improve readability and multilingual responses.
Setup & Effort
Do I need to write or manage medical content myself?
Zero writing required. Simply check the boxes for the treatments you offer. Your assistant instantly "inherits" our full library of 130+ validated procedures.
I don’t see a treatment I offer in my clinic. What should I do?
In your dashboard, go to the Customer Service page and select “Request a treatment or procedure.” Tell us what you’d like to add, and we’ll take care of the rest. New guides are typically added within 48–72 hours, as each one is validated against peer-reviewed sources (PubMed and PMC).
How does iGlowly know which treatments my clinic offers?
You select your treatments and procedures in your dashboard. The assistant will only respond based on what your clinic actually offers.
Can I add or request custom treatments not in your database?
You can select from our existing library. For specific or unique treatments, custom mapping is available for Pro members.
What kind of questions can the assistant handle?
Both treatment-related and clinic-related questions: procedures, results, recovery, risks, pricing, availability, consultation, logistics, and more.
Can the assistant answer both treatment-related and clinic-related questions?
Yes. It combines medical guides with your clinic’s practical information (pricing, hours, booking, etc.) in a single conversation.
Functionality / behavior
What happens when a patient asks about a specific concern (e.g. wrinkles, belly fat)?
The assistant identifies the concern and presents only the treatments your clinic offers for that concern. This helps patients discover relevant options—even ones they didn’t initially consider.
How does the assistant suggest treatments for a given concern?
It maps the concern (e.g. “belly fat”) to all medically relevant solutions available in your clinic, then explains each option clearly.
Can the assistant guide patients between different treatment options?
Yes. It helps patients compare options, understand differences, and choose what fits their goals—before they contact you.
Does the assistant adapt strictly to what my clinic offers?
Yes. It never suggests treatments you don’t provide.
What happens if the assistant doesn’t know the answer?
It never guesses. If a question falls outside its clinical or logic boundaries, it gracefully directs the patient to your human team, preserving the lead.
Pricing / data
How does the assistant know my pricing?
Upload your Price List (PDF or Link). We extract, validate, and sync the data to your assistant within 24–48 hours. It’s the only way to ensure 100% pricing accuracy.
How accurate is the pricing information shown to patients?
Pricing is based on your uploaded data and validated before activation. If no pricing is available, the assistant will not display estimates.
How long does it take to process my pricing data?
Up to 48 hours, usually within one business day.
Integrations / workflow
Does iGlowly integrate with my booking system (Jane, AestheticRecord, DoctorAnytime, etc.)?
No direct integration is required. The assistant simply directs patients to your existing booking link once they are ready.
How are patients redirected to book an appointment?
Clear call-to-action links (book, call, WhatsApp, etc.) are always available and surfaced at the right moment in the conversation.
Does iGlowly work inside WhatsApp?
Yes. iGlowly Assistant can now work inside WhatsApp as well as on the clinic website.
The website assistant is for anonymous patient questions before someone is ready to share personal details.
WhatsApp is different. It is for identified, warmer conversations. The clinic can see the WhatsApp messages and reply directly.
If your team takes over the WhatsApp thread, iGlowly is muted for 30 minutes so the patient does not receive AI and human replies at the same time.
This creates a simple flow:

How does the calculator work?
The calculator uses two separate steps, both deliberately conservative.
First, it estimates how many of your website visitors start a conversation with iGlowly. This is only a small share of total traffic. By default, we use around 6–10% for med spas and 3–6% for aesthetic surgery, and you can adjust the percentage yourself.
Second, it estimates how many of those conversations become actual patients. For this step, we use only 5–6%, even though comparable 2026 benchmarks are higher at 10.35–12.43% click-to-lead.
We use the lower number on purpose because iGlowly is estimating the full journey:
conversation → enquiry → consultation → completed treatment
People drop off at each stage.
So the result is not a best-case scenario. It is a cautious estimate you can actually defend.
Do I need thousands of website visitors?
No. iGlowly does not require thousands of monthly visitors to make sense.
With the Free plan, a clinic can already use iGlowly Assistant for free for up to 50 AI conversations per month.
What matters is not only traffic volume. What matters is:
how qualified your visitors are
how many have questions before booking
how quickly they can get an answer
how much one new patient is worth to your clinic
For example, a med spa with 1,000 monthly visitors, a 5% conversation rate, and a $150 average treatment value could estimate:

For aesthetic surgery, the traffic-to-conversation rate may be lower because patients are more cautious. But the patient value is much higher.
For example, a surgery clinic with 1,000 monthly visitors, a 3% conversation rate, and a $5,000 average treatment value could estimate:

So the question is not:
“Do we have thousands of visitors?”
The better question is:

Why are the default rates different for med spas and surgery?
Because patient behaviour is different.
Med spa visitors often ask quicker questions about pricing, downtime, pain, product choice, preparation, or aftercare. Since iGlowly is proactive, we use a conservative default range of around 6–10% visitor-to-conversation engagement.
Aesthetic surgery is more private and more serious. A patient considering a facelift, rhinoplasty, liposuction, breast augmentation, or abdominoplasty may spend weeks researching before asking anything. They may want privacy, reassurance, and time before they feel ready to speak to the clinic.
That is why we use a lower starting range for surgery: around 3–6%.
The lower percentage does not mean surgery has weaker ROI. It means the decision is slower and more cautious. Because surgery values are higher, even a small number of additional serious enquiries can make the assistant worthwhile.
How long should we keep iGlowly live before judging the results?
We suggest keeping iGlowly live for around 2 months before judging performance.
One month can show early activity, but 2 months gives a better picture of:
how many visitors ask questions;
which treatments create the most hesitation;
what patients ask before booking;
whether conversations turn into bookings or callbacks;
whether the clinic receives better-qualified enquiries.
This is especially important for aesthetic surgery, where the decision cycle is longer. A patient may ask questions now and book later.
